Searching for Files |
The primary goal for proNETDOCS is to help you organize your documents in a way that is logical, and in a way that may help you to retrieve your documents fast. Next to helping you automate the file creation process, searching for the documents is one of the most useful features that proNETDOCS has.
From your Start Page -> locate the Environment Commands section -> click on the "Advanced DB Search Command" this command will open the main search window allowing you to search for documents based on 17 different fields. You may use a combination of any of these fields to filter your search further. These fields are broken down in two categories to help you organize your file search. These two categories are the following:
These main category is broken into 12 sub categories that are automatically generated during the profiling process. These subcategories are as follows:
Author: the name of who created the file originally.
Create Date: the date the file was created.
Last Modified: the date the file was last modified.
Last Modified By: the name of the user who last modified the file.
Number: the pre-generated file number. This is generated at file creation time.
Type: the file extension or type associated with the file.
Versions: version number of the file
Size: the size of the file the last time it was modified.
These are the properties that are provided by the user at profiling time. There are 5 categories that are provided at profiling time, and they are as follows:
Client Name: the name of the client associated with the file.
Client ID: the identification number associated with the file.
Client Matter: the client matter associated with the file.
Description: this field provides a brief description of the document.
Comments: this field provides a field for any additional comments on the document.
This property allows you to save your search for future reference. This search is saved on a XML file that stores the SQL search statement itself along with the date and time it was performed.
Note: an alternate way to perform a search is to select the search database icon from the main standard toolbar, or by File -> Search Database ->" Main Database" from the main menu. To search the versions database, select File -> Search Database ->" Versions Database..." from the main menu.
File versioning is one of the ways to can keep track of a single document that needs to have multiple revisions, or a document that needs to be worked on by multiple users and then merged into one final document. With proNETDOCS you can create multiple versions based on an original file, or you can create a new file based on a version of a file.
All versions of a document are indexed or referenced through the original file. Keeping this in mind, there are times when searching for information on a documents turns better results by searching the versioning information on a file.
File version search is as simple as performing a regular search. To search the versions database, select File -> Search Database ->" Versions Database..." from the main menu. Or click the dropdown button on the "Search Database" button on your main application toolbar, and select "Versions Database..." . Follow the same procedures described above for a Main Search.
