FCP Excel Link
Integrate your Enterprise Software - Baan, Triton and others - with Microsoft Excel
FCP Excel Link is a powerful tool of automatic exportation of the information generated by any corporate or ERP system to Microsoft Excel. FCP Excel Link is directed to all users of corporate softwares which need flexibility and speed in the analysis and visualization of their data.
CP Excel Link is directed to every user of the enterprises systems that belong to the areas of administration, finance, logistics, fabrication, sales, services, purchasing, supplying, etc. and which need flexibility and speed in the transfer, formatting, analysis and displaying of its data.

ADVANTAGES
· Export information from your
corporate software to Microsoft Excel© without risk of
error, handling date, time, text and numerical fields and
dealing with all negative format numbers.
· Export any type of report, even
those that do not have all their data in tabulated form,
thanks to a powerful analyser of exceptions.
· Automatically strip out pipe or
other field separator symbols, and remove heading
lines.
· Define once and forever all the
exportation formats.
· Export to existing Excel©
spreadsheets allowing to update values of pre-designed
charts, dynamic tables and all kind of Microsoft
Excel© object.
· And all these... in only one
operation.
FCP Excel Link has been specially designed to execute in
only one step, all the work that will be done by hand in each
exportation (generate and transfer the report, import it to
Microsoft Excel column by column, eliminate unnecessary data,
apply formats, etc.).
FCP Excel Link will save you a significant amount of time
(without risk of error) in obtaining data in Microsoft Excel,
so that you can dedicate that time in more productive work
like:
· Production of reports with charts and
tables.
· Statistical analysis and rankings.
· Generation of conciliation forms.
· Any other task that can be performed with
Excel©.
instead of dedicating it to the exportation of the
information.
Thanks to its powerful
exceptions analyser, FCP Excel Link can export to Excels
columns non-tabulated data. Typical in this case are data that
appear as subtitles in the reports and should be exported too,
so you will not lose the relationship they have with the rest
of the reports information.
INTEGRATION
As a data source, FCP Excel Link uses ASCII format files
making it compatible with the majority of the software of the
market. Also, it can be integrated and executed automatically
from any system that offers the possibility to run external
programs.
FCP Excel Link can be integrated with systems that work on
Windows, Unix and AS400 platforms among others. It is
independent from the Database server and owns a built in FTP
service.
Examples of use
· Conciliation: export to Microsoft Excel© the
listings to conciliate, finding the differences in a few
minutes using all the power and flexibility of Microsoft Excel
©.
· Projections: export information from the corporate
software and use the powerful projection functions of Microsoft
Excel ©.

Forecasting: extract the information from the forecast modules
and use it to make a comparison with data of other systems or
spreadsheets.
· Planning: visualize the planification according to
personal criteria (by product, date, family product, etc.).
Perform capacity requirement charts, etc.
· Pricing: develop a spreadsheet with cost formulas and
charts. Extract the up to date data of your costing system and
use them as data source of the Excel© formulas.
· Statistic charts, ratios and indexes: prepare a
spreadsheet with charts and necessary indexes and later export
with FCP Excel Link the corresponding information as its data
source. This process can be indefinitely repeated using the
same worksheet.
TECHNICAL REQUIREMENTS
FCP Excel Link works with Windows 95, 98, Windows NT, 2000 and
XP and needs approx. 10 MB of free disk space.
The application is installed in each workstation, which must
have MS Excel© version 97 (or higher) and Internet
Explorer 5.0 (or higher) already installed.
FCP Excel Link is directed to all users of corporate softwares
which need flexibility and speed in the analysis and
visualization of their data.
FCP Excel Link has been specially designed to perform, in just
one step and without risk of error all the work that is done
manually in each exportation (generate and transfer the output,
import it to Microsoft Excel in columns, eliminate unnecessary
data, apply formats, etc.).
FCP Link is made up of 2 principal modules, the Format Builder
and the Exportation Engine.
The Format Builder defines the relationship between the Input
file and the Target Worksheet of Microsoft Excel. The Input
File is the document produced by the enterprise software from
which the exportation of data is carried out. The group of
defined relations between an Input File and the Excel Ttarget
Worksheet is called a Format.
A Format is composed of a Format Heading, Columns and
Exceptions, the latter being optional.
The Columns of a format relate the columns of the Input File
with the columns of the Excel worksheet. Each column of data to
be exported must be identified, within the Input File, by its
position and its data type. These are the basic inputs in
a format definition.
The exceptions solve particular cases, such as:
Transposition of data which are not presented in tabular form
in the Input File.
The suppression of data that comply witrh the relationship of
columns but which are not wanted for export to the Excel
worksheet (as for example the subtotals).
The inclusion of data that do not comply with the relationship
of columns but are wanted for export to the Excel
worksheet.
The formats are entered only once and they can be used as many
times as is necessary. You may modify a format at any
time.
The Exportation Engine is activated each time you operate the
Export option from the main window of FCP Excel Link. The
Exportation Engine reads the Input File, applies the defined
format, resolving for each line the columns relationship and
eventual exceptions, and performs the exportation of useful
information towards the Excel worksheet.
FCP Excel Link can perform the exportation to an Excel
predefined workbook (used as template) and in a specific
worksheet within the workbook. If a predefined workbook is not
chosen, the exportation is realized towards a new Excel
workbook.
Integration of FCP Excel Link with Corporate Software
Integration with Triton 3.1 and Baan IV
With Triton 3.1 it is possible to create a device (session
ttaad3100m000) that allows re-direct the outputs to ASCII
format files. The files generated are recorded and remain in
the folder (home) of the user in the Unix server, if no other
different location was specified at the moment of selecting the
device.
For performing an exportation to Microsoft Excel with FCP
Excel Link, it will be necessary to move the file from the
server to the users computer or to a location of the
network accessible from the users computer through
windows.
FCP Excel Link offers an FTP service which safely performs
this operation automatically before each exportation.
Once transfered by FTP and accessible from the users
computer, the file can be used as an Input File, that is to
say, as a data source of FCP Excel Link for exportation.
Now we shall explain the different tasks for integrating FCP
Excel Link with Triton 3.1.
Creating a new device in Triton 3.1
Define with the Maintain Device Data session (ttaaad3100m000),
a new device with the following parameters:
Device: EL
Description: Output for FCP Excel Link
Device type: Rewrite file
4GL Program: ttstpconv
Argument: ASCII
Path: input txt
Change allowed: Yes
Notes
The name of the device and its description are given as
examples.
We suggest using the same file name (input.txt) for all
outputs to avoid an unnecessary accumulation of data in the
server, as each exit will replace the content of the one
before.
Creating a format with FCP Excel Link
From Triton 3.1 generate a first output of the report for
which you wish to create a format, using the device created
previously.
Launch FCP Excel Link and go to the Format Builder to create a
new format.
Enter the description of the format.
Enter the name of the Input File (path and file name once
transfered by FTP). For example
C:\EL310\Documents\input.txt.
Complete the rest of the heading of the format parameters
(Export to and Style tabs).
Go to the FTP tab, activate the Perform FTP before exportation
option and enter the parameters as indicated here :
Host (name or IP address)
Enter the name or the IP address of the server where the
documents generated by Triton 3.1. are located. This server
must have an FTP active service.
Enter the name of the host if you have a name resolution
service, or enter the IP address.
User
Enter the name of the user as you defined as login of
Unix.
Password
Enter the password of the user as you defined it as password
of Unix.
Remote File (origin)
Enter the whole path with the name of the file made by Triton
3.1, and which is usually found within the home of the
user.
For example: /triton/3.1/users/johnd/input.txt
Erase remote file after exportation
Activate this option so that the file situated in the home of
the user (/triton/3.1/users/johnd/input.txt in our example) is
erased automatically after the exportation.
In our example, the origin file
(/triton/31/users/johnd/input.txt) will be transfered to the
file C:\EL310\Documents\ input.txt. in the users
computer.
Creating the columns of the format
Follow the detailed instructions in the chapter Creating a
format column to enter the relationships of columns of the new
format.
During the creation of each column, the file generated by
Triton 3.1 will be pre-visualized on the screen, to help you in
the selection of data to be exported.
Procedure for the exportation to Microsoft Excel
Fom Triton 3.1 generate the report using the device created
previously.
Execute FCP Excel Link or if it is already activated, make it
visible.
Select the format which corresponds to the report generated
previously.
Click on the Export button.
Integration with Baan IV
If you work with Baan IV with the Windows client (BW.EXE), you
can create a device (session ttaaad31000m000) that
automatically permits:
*Redirect the outputs to ASCII files.
*Transfer them to the users computer. Note: the files will be
transfered in the ...\Baan\ directory of the users
computer.
*Execute the FCP Excel Link application.
Next we shall explain the different tasks for integrating FCP
Excel Link with Baan Iv.
Creating a new device in Baan IV
Define with the Maintain Device Data (ttaad310m000), a new
device with the following parameters :
Device: EL
Description: Output for FCP Excel Link
Device type: Rewrite file
4GL Program: ttstpconv
Argument: ASCII:C:\EL310\EL310.EXE -if:%s
Path: input.txt
Change allowed: Yes
Notes
We consider that the application FCP Excel Link is installed
in the directory C:\EL310.
The name of the device and its description are given as an
example.
Configuration of FCP Excel Link
We recommend activating the Exit automatically on finishing
the exportation option, as FCP Excel Link will automatically
execute each time a new report is generated from Baan IV.
Creating a format with FCP Excel Link
From Baan IV, generate a first output of the report for which
you want to create a format, using the device created
previously.
FCP Excel Link will execute automatically.
Go to the Format Builder to enter a new format.
Enter the description of the format.
Enter the name of the Input File (C:\Baan\input.txt to
continue with our example).
Complete the rest of the format heading parametres without
loading anything in the configuration FTP part.
Creating the format columns
Follow the instructions detailed in the chapter Creating a
format column to enter the column relationships of the new
format.
During the creation of each column, the file generated by Baan
IV will be previsualized in the screen to help you in the
selection of the data to be exported.
Procedure for the exportation to Microsoft Excel
From Baan IV generate the report using the device created
previously.
The ASCII file generated by Baan IV is transfered to the
C:\Baan directory and the FCP Excel Link application is lauched
automatically.
Select the format that corresponds to the report generated
previously.
Click on the Export button.
Integration with Other Systems
AS400 based systems with IBM Client Access
With the IBM Client Access application, you can map a remote
AS400 directory and link this directory in your FCP Excel Link
formats (input file path) or you can use the manual file
transfer option of Client Access to transfer the ASCII files
from the AS400 to your computer before performing the
exportation.
AS400 based systems with FTP
If the FTP transfer protocol is activated in you AS400, you
can setup the FTP parameters in FCP Excel Link and use this
option to automatically transfer the ASCII files from the AS400
to your computer before performing each exportation to
Excel.
Unix based systems with FTP
If the FTP transfer protocol is activated in you Unix server,
you can setup the FTP parameters in FCP Excel Link and use this
option to automatically transfer the ASCII files from the Unix
server to your computer before performing each exportation to
