CafeSuite

CafeSuite is a very powerful cyber cafe software that can help you with internet cafe management, accounting and billing. Unlike many other programs CafeSuite is robust, quick and secure. It doesn't matter how big is your cyber cafe - CafeSuite is capable of controlling any number of workstations. It is designed to be a great help for all cyber cafe owners, operators and customers. It's basic task is to provide operators and customers with an accurate timing and billing information at any time. The software generates various reports and statistics, which give detailed information about your internet cafe business. Obviously there can be many operators with different access rights each having unique username and password for logon. All their actions are recorded to the encoded log files and can be later reviewed. Main features of CafeSuite include prepaid accounts for customers, logon system, shop, customer accounts, reservations system, waiting queue, periodic discounts and system policies.

   CafeSuite's basic task is to provide operators and customers with an accurate timing and billing information at any time. The software generates various reports and statistics, which give detailed information about your Internet cafe business.

   All transactions, and actions are kept in database and reported to the club's owner. Reports can be delivered to you by e-mail. Now you have total control over your business!

Main features

•   The software works on any TCP/IP network no matter whether you use dynamic or persistent IP addresses.
   
•   Both client and server programs operate under all Windows systems - Windows 95/98/ME, Windows NT/2000/2003 and XP.
   
•   Operator accounts with different access rights, each having unique username and password for logon. All of your workers' actions are recorded in the reports.
   
•   Charging rates system, which allows you to define any pricing system, special rates can be assigned to different computer groups, user accounts can have different charging rates as well.
   
•   Periodical discounts system - ability to change charging rates automatically, at specific time or depending on the day of the week.
   
•   Accounts for members. They store detailed user information, account history and bill. It's possible to pay for products and services with account or even to have debt on account. There are four kinds of accounts:
  •   Time accounts - users buy a specific time period paying in advance. These accounts can always be recharged with extra time.
  •   Cash accounts - users have an specific amount of money to spend in your cafe. These accounts can always be recharged with extra cash.
  •   Use and pay accounts - users are charged every time they use account.
  •   Administrative accounts - used by administrators to maintain workstations.

  
   

•   Customer logon system - allows users to log onto their accounts from the workstation (independently from the operator). Accounts can be both prepaid and pay-when-you-leave depending on your business profile. The software can also automatically log on users with their Windows username.
   
•   Computer groups - you can use them to gather computers that share the same charging rate (for example: computers for IRC can have different charging rate than computers used for games of surfing the web).
   
•   Graphical reservation system - Internet clubs using CafeSuite usually have big traffic - that's why we developed an easy to use graphical reservation system and waiting queue feature.
   
•   System policies module - makes it possible to set certain restrictions on client workstations to prevent computer abuse.
   
•   Shop module - used to quickly report orders from your customers, includes basic inventory management, discounts for members and operators, customizable taxes and receipts
   
•   Support for external devices - you can use barcode scanner, magnetic card or smartcard reader to logon users with accounts.
   
•   Second currency - CafeSuite allows you to display charges in two currencies.

Client-server architecture

   CafeSuite consists of two applications:

•   CafeStation - main program (server) which is operated by cyber cafe administrator
   
  •   user-friendly interface ensures quick and easy operation even by novice computer users
     
  •   fully customizable through options 
     
  •   very robust and powerful
     
•   CafeAgent - small program that resides on remote computers, displays time notifications, sets system policies, locks workstations and logs customers in and out.
   
  • Takes up almost no system resources
     
  • doesn't slow down local network nor Internet
     
  • automatically installs itself into the system

Access control

   CafeSuite has features necessary for cafe owners - it provides full income control, locks idle computers, generates detailed reports and statistics and supports different privileges for operators:

•   Owner - has access to all the features and reports
   
•   Administrator - can operate the program, but doesn't have access to advanced functions
   
•   Custom - you can specify privileges on your own

   All the actions are being recorded in a special log, which can only be viewed by users having proper access rights. It lets you control your employees and of course the income. 

Security

   CafeSuite software is protected against improper or malicious usage:

•   All connections and data send between clients and server are encoded and additionally protected by password.
   
•   Report files are encoded and cannot be manually edited from outside CafeStation.
   
•   CafeAgent is password protected against unauthorized uninstallation from the system.
   
•   CafeAgent cannot be terminated by user even by killing its process.
   
•   CafeAgent can accept connections only from the main server.
   
•   Access to CafeStation can be protected by password, so that users have to log in each time the program is opened.
   
•   Software cannot be tricked by system time changes. Moreover they are written to the report.

CafeSuite Modules

There are many modules available that extend functionality of the software:

 Shop module (already included in basic package)

  Shop module allows you to keep record of all sales. Sales are divided into products and services. The module consist of stock inventory, product deliveries, VAT customization, direct and indirect sales, sales deducted from customer account, possibility to cancel recent sales and sales reports. Shop module can be used with POS printer module and barcode reader module.

 Reservations module (already included in basic package)

The reservations module makes it possible to reserve certain workstations for your customers when they ask you to. You can see, add, edit, remove and activate reservations on a nice, easy-to-use graph. Reservations can be paid in advance (also partially). The program can display the time of the closest reservation in a special column. The module also includes customers queue feature.

 System protection module

This module makes it possible to completely protect your system from malicious clients by determining how to limit access to files and folders on client workstations. It can even protect hard drives from being formatted. Disk restrictions may vary depending on the current charging rate - for example you can disable Internet for 'Games' charging rate and vice versa. Of course in maintenance mode all the restrictions are automatically disabled. Please note that you need to have some computer knowledge to setup disk restrictions properly as this is a very powerful tool. However once configured it can keep your partitions clean and save your time on reinstalling the system. The module also includes the functionality of the old 'system policies module' - it can disable Control Panel items, MS DOS applications, registry editor, hide disk drives, etc.).

 POS printer module (included in the External Devices module)

POS printer module is used to print receipts and account tickets for your customers on POS printers. The module supports most RS232 POS printers (for example Epson TM-U200 and Star SP-200). It makes it possible to print bills for both computer usage and non computer sales. Of course receipts can be easily customized to suit your company needs.

This module doesn't include any hardware.

Barcode reader module (included in the External Devices module)

With this module you can instantly log users in and out by scanning their barcode cards on the main computer. It can be used with both prepaid and pay-when-you-leave accounts. Currently the software supports keyboard wedge models or scanners that can emulate keyboard input (so that scanning a barcode is the same as entering proper identifier from keyboard). Of course you can also scan barcodes of products to quickly sell them from the software. Please note that we don't supply scanners nor cards.

This module doesn't include any hardware.

Card reader module (included in the External Device smodule)

With this module you can instantly log users in and out by scanning their magnetic cards. It can be used with both prepaid and pay-when-you-leave accounts. Currently the software supports RS232 serial port readers (for example by MAGTEK). You can use just one reader that is connected to the main workstation or get separate reader for every client workstation so that customers log in on their own by simply swiping their card when workstation is locked. Please note that we don't supply scanners nor cards.

This module doesn't include any hardware.

Smart cards reader module (included in the External Device smodule)

Smart cards reader module allows you to use memory card readers with CafeSuite. As with magnetic cards, your customers can be logged onto workstations. You can use smart card readers at the main computer and at the workstations. All PC/SC compatible readers are supported.

Print control module

The module makes it possible to automatically charge customers for printouts. The shared printer must be connected to Windows NT/2000/XP machine (currently only to the main workstation), but it will detect printing from any operating system. If the printing control service is installed every time someone prints document CafeStation will show information about printing (workstation, document name, number of pages, paper format, etc.). You can configure the software to automatically add printouts to client bill or to charge their account. You can set different prices depending on the number of pages. Printouts are logged even when CafeStation program is turned off.
